About the role
We are looking for a proactive, detail‑oriented Administrative Assistant Project Coordinator to join our Program Management Operations team. You will support global program teams during the design and development phases of new products, ensuring smooth administrative and project‑coordination processes.
Key responsibilities
- Manage project meeting calendars, planning, and logistics using MS Office and Smartsheet.
- Own and maintain program templates and facilitate staff meetings.
- Handle program materials worldwide – ordering, receiving, storing, and distributing.
- Create Purchasing Card orders, verify data accuracy, and follow up on invoices.
- Respond to global program inquiries and support cross‑functional teams.
- Identify improvement opportunities and implement process enhancements.
Required profile
- Bachelor’s degree.
- 2+ years of experience in a dynamic professional environment.
- Strong communication, time‑management and organizational abilities.
- Ability to work independently and manage multiple priorities.
Required skills
- Microsoft Office suite (Outlook, Word, PowerPoint, Excel, Teams).
- Smartsheet.
- Confluence.
- SharePoint.
- Power BI.
- Knowledge of Planisware (a plus).
