About the role
The Administrative Assistant provides confidential, high‑level support to senior leaders within Campus + Community Planning at UBC. Working closely with the Directors of Sustainability & Engineering and Community Development & Transportation, the role ensures smooth office operations and contributes to departmental initiatives.
Key responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel for two directors.
- Prepare and process procurement requests, invoices, and other financial documents.
- Support internal and external communications, including drafting correspondence and meeting materials.
- Maintain office supplies, coordinate access to meeting spaces, and assist with department‑wide events.
- Collaborate with the Office & Administration Manager to improve workflow and office procedures.
Required profile
- Demonstrated ability to handle confidential information with discretion.
- Strong organizational skills and capacity to manage competing priorities.
- Excellent written and verbal communication abilities.
- Experience supporting senior executives in a fast‑paced environment.
