Senior Program Assistant – Undergraduate Year 3 & 4

About the role

The University of British Columbia’s Department of Psychiatry is seeking a Senior Program Assistant to support the undergraduate medical education program for Year 3 and Year 4 students. Reporting to the Senior Education Programs Manager, you will coordinate scheduling, manage program documentation, and serve as the first point of contact for students and faculty.

Key responsibilities

• Coordinate and maintain the full schedule for all Psychiatry blocks for Year 3 and Year 4 (approximately 200 students).
• Prepare and update timelines, rotation schedules, examination dates, academic days, and accreditation documentation.
• Collect and submit teaching session data in the Teaching and Tracking Payments system (TTPS) and update related platforms such as one45.
• Track student attendance, assessments, marks, and generate related reports.
• Maintain and update Year 3 and Year 4 manuals, documents, and files.
• Attend and coordinate monthly Undergraduate Education Committee (UGEC) meetings and the annual education retreat.
• Provide coverage and assistance for all education programs within the Department of Psychiatry as needed.

Required profile

• Experience in academic program administration or similar support roles.
• Strong organizational skills with the ability to manage multiple deadlines.
• Excellent communication skills for interacting with students, faculty, and staff.
• Ability to work flexibly to meet program timelines.
