About the role
We are seeking a friendly and organized Receptionist/Records Clerk to support our Vancouver office. This full‑time, fixed‑term position runs until 31 December 2026 and provides the first point of contact for clients, visitors, and staff.
Key responsibilities
- Greet clients, visitors and industry professionals, creating a positive first impression.
- Answer, forward and take messages for incoming calls.
- Coordinate couriers, manage incoming/outgoing mail and faxes.
- Distribute mail, open files and schedule calendar events.
- Prepare and clean boardrooms before and after meetings.
- Maintain office inventory and order supplies.
- Provide administrative assistance to the accounting team.
- Order clinical, income and other records as requested.
- Scan, save and index incoming records to client‑specific files.
- Perform other administrative tasks as required by management.
Required profile
- Minimum one year of experience in a reception or administrative role.
- Strong verbal and written communication skills.
- Excellent phone etiquette and customer‑service orientation.
- Ability to multitask and work independently with minimal supervision.
- Previous law‑firm experience is an asset but not required.
Required skills
- Proficiency with Microsoft Outlook, Word and Excel.
- Familiarity with PrimaFact, Amicus and PC Law (preferred).
What we offer
- Competitive salary range of $40,000 – $50,000 CAD per year (based on experience).
- Full‑time hours: 9 am – 5 pm, Monday to Friday.
- Fixed‑term contract ending 31 December 2026.
