About the role
We are looking for an Office Administrative & Clerical Assistant to join our National Offices in downtown Toronto. The role supports the daily operations of the office and provides front‑desk and clerical assistance to multiple internal teams. This is a full‑time, on‑site position within Canada’s largest automotive group.
Key responsibilities
- Greet visitors, manage building access and provide refreshments.
- Answer, forward and log incoming calls and general inquiries across communication channels.
- Handle incoming and outgoing courier packages, mail sorting and internal distribution.
- Schedule office meetings, teleconferences and Teams calls, and coordinate boardroom bookings.
- Arrange travel bookings and related requirements for staff.
- Track invoices for office services and supplies, obtain approvals and forward to accounting.
- Order and receive office stationery, kitchen supplies and restock boardroom items.
- Organise office lunches for business meetings.
- Provide clerical support to leasing and marketing teams, including scanning, filing and document management.
Required profile
- Proven experience in general clerical and administrative duties.
- Strong organizational skills with the ability to manage multiple requests simultaneously.
- Excellent communication skills for interacting with visitors, callers and internal teams.
- Attention to detail in handling mail, invoices and supply orders.
