About the role
We are seeking a proactive Executive Assistant and Office Manager to support our CEO and keep the Vancouver office running smoothly. In this high‑trust position you will coordinate executive schedules, manage travel and event logistics, and oversee HR and payroll processes, leveraging modern and AI‑enabled tools to boost efficiency.
Key responsibilities
- Maintain the CEO’s calendar, prepare meeting materials, and manage follow‑ups.
- Coordinate travel, accommodations, and logistics for roadshows, partner events and team meetings.
- Support HR and payroll workflows using QuickBooks Online, ensuring timely processing.
- Manage onboarding and offboarding checklists, guaranteeing a professional experience.
- Track agreements, signatures and documentation, meeting deadlines and compliance.
- Process invoices, reimbursements, monitor budgets and generate basic operational reports.
- Utilize AI tools to draft, summarize and organize information, improving operational speed.
Required profile
- Highly organized with a strong focus on execution and systems.
- Excellent communicator, calm and confident in stakeholder interactions.
- Detail‑oriented with strong numerical accuracy.
- Proactive, accountable and able to work independently without micromanagement.
- Minimum 1 + year experience in business administration, office management or coordination.
- Post‑secondary education in a related field (North American preferred).
