About the role
The Maples Group is seeking a highly organized Executive Assistant to support senior executives in its Montreal office. This role involves handling confidential logistics, communications, and administrative tasks while representing the executives with professionalism.
Key responsibilities
- Manage executives' calendars, schedule meetings, and coordinate travel arrangements.
- Prepare minutes, reports, presentations, and firm‑wide communications on behalf of senior leaders.
- Maintain complex spreadsheets, databases, and contract/expense approvals in line with policies.
- Act as a liaison with internal business units and external partners, handling sensitive information with discretion.
- Organise virtual and physical meeting spaces, and support special projects, events, and client activities.
- Assist business development teams and contribute to onboarding high‑profile new employees.
Required profile
- Exceptional attention to detail and mature business judgment.
- Ability to respond quickly to critical situations, including outside regular business hours.
- Strong written and verbal communication skills in English.
- Professional demeanor that aligns with the firm’s values and culture.
