Clinical Faculty & Operations Coordinator (Term)

About the role

The Clinical Faculty & Operations Coordinator provides essential coordination and administrative support for clinical faculty and medical education activities in the Interior region of the Faculty of Medicine. This fixed‑term role works closely with faculty, staff, Human Resources and Clinical Faculty Affairs to ensure smooth operations and compliance with university policies.

Key responsibilities

• Coordinate appointment, reappointment and promotion processes for Clinical Faculty Appointments.
• Develop and maintain the SMP onboarding/off‑boarding procedures for clinical faculty and medical educators.
• Ensure all teachers and preceptors have up‑to‑date information, confirmed appointments and appropriate Faculty of Medicine contacts.
• Provide front‑line guidance to SMP Program Coordinators, managers and faculty leaders on policy interpretation.
• Maintain accurate records, track compliance and support continuous quality‑improvement initiatives.
• Liaise with internal departments across UBC Vancouver and Okanagan campuses and external organizations as required.

Required profile

• Strong written and verbal communication skills.
• Excellent organizational abilities and attention to detail.
• Comfortable working in an environment of ambiguity and evolving processes.
• Ability to build effective relationships with faculty, staff and external partners.
• Experience in coordinating academic or clinical appointments is an asset.
