Client Services Assistant – InReach

About the role

The Client Services Assistant – InReach works at the main entrance of the Health Centre, serving as the first point of contact for visitors. You will provide welcoming, administrative, and navigational support to clients, including those experiencing homelessness, food insecurity, or mental health concerns. The role involves both routine front‑desk duties and crisis‑intervention assistance.

Key responsibilities

• Create a welcoming environment, offering beverages and snacks as appropriate.
• Check‑in clients using electronic medical and dental records, schedule appointments, and update demographic information.
• Answer phone calls, retrieve voicemails, and direct inquiries to the appropriate staff.
• Perform standard office tasks such as photocopying, scanning, faxing, and managing incoming and outgoing mail.
• Assist drop‑in clients by providing resources, food‑market support, and referrals to social‑prescribing pathways.
• Support de‑escalation and crisis situations until additional help arrives.
• Follow opening and closing procedures, including security checks.

Required profile

• Post‑secondary education in health administration, healthcare or social services.
• Minimum two years of office experience, preferably in a medical or social‑service setting.
• Strong customer‑service, time‑management and scheduling abilities.
• Effective communication in English; additional languages are an asset.
• Experience working with culturally and economically diverse populations.
• Familiarity with Waterloo Region health and social‑service programs.
• Calm, confident demeanor and ability to maintain confidentiality.
• Ability to obtain a satisfactory Police Vulnerable Sector Check.

Required skills

• Proficiency with Microsoft Office Suite.
• Experience using electronic health records and related databases.
