About the role
This position provides high‑level administrative and organizational support to the Vice‑President, Communications and Institutional Relations and the Senior Director, Government and Institutional Relations at McGill University. Reporting to the Associate Director, Administration, the incumbent will ensure smooth daily operations for senior leadership.
Key responsibilities
- Manage and prioritize the calendars of the Vice‑President and Senior Director, scheduling meetings, events and travel.
- Prepare comprehensive briefing files, including agendas, background notes, speaking points and biographical materials.
- Coordinate the flow of information and documents between internal offices and external stakeholders, ensuring timely delivery.
- Draft correspondence and documents in both official languages for internal and external audiences.
- Attend meetings, prepare agendas, take minutes and follow up on action items.
- Handle sensitive, time‑critical matters independently and escalate issues as needed.
- Review and route documents for signature, manage scanning and filing processes.
Required profile
- Demonstrated accuracy, judgment, autonomy and discretion in an executive support role.
- Ability to navigate change, ambiguity and urgent operational priorities.
- Strong organizational and time‑management skills.
- Excellent written and verbal communication in English and French.
