Administrative Coordinator – Student Wellness Hub

About the role

The Student Wellness Hub at McGill University is seeking an Administrative Coordinator to provide comprehensive clerical and office support, primarily for the Mental Health team. Reporting to the immediate supervisor, the coordinator will act as a resource on hub policies and ensure smooth daily operations.

Key responsibilities

• Provide administrative assistance to the Student Wellness Hub, focusing on the Mental Health team.
• Monitor weekly appointment wait‑time forecasts and flag capacity concerns to leadership.
• Maintain accurate clinician schedules, update the online booking system, and distribute new appointments.
• Coordinate student transfer requests and prepare student record files as directed.
• Organise special meetings: arrange participants, prepare agendas, book rooms, take minutes and track action items.
• Support vendor payment processing and assist with expense report preparation and PCard reconciliation.
• Help prepare onboarding documents for new hires and communicate with relevant parties.

Required profile

• Strong organizational abilities and attention to detail.
• Experience providing administrative support in a health‑service or academic environment.
• Familiarity with university policies, procedures, and collaborative care principles.
• Ability to communicate effectively with team members and leadership.
