About the role
Our client, a mission‑driven non‑profit organization in Ottawa, is seeking a bilingual Executive Assistant to support a senior executive. This six‑month contract role offers a hybrid work arrangement and requires a detail‑oriented professional who can manage multiple priorities with discretion.
Key responsibilities
- Manage complex executive calendars, balancing shifting priorities and urgent requests.
- Coordinate meetings, prepare agendas and materials, and provide logistical support for virtual and in‑person sessions.
- Organise domestic and international travel, including itineraries, accommodations, and related logistics.
- Prepare, edit, proofread, and format executive‑level documents, reports, presentations, and correspondence.
- Maintain organized records, files, and shared workspaces while ensuring confidentiality.
- Process expenses, reimbursements, and administrative transactions accurately and on time.
- Support project tracking, follow‑ups, and coordination activities to ensure timely deliverables.
- Provide administrative and coordination support to committees and internal initiatives as needed.
Required profile
- Minimum 3 years of experience as an Executive Assistant or senior administrative support professional.
- Experience supporting senior leaders in fast‑paced or complex environments.
- Strong organizational and time‑management abilities with a focus on detail.
- Exceptional written and verbal communication skills in both English and French.
- High level of professionalism, discretion, and attention to detail.
Required skills
- Proficiency with Microsoft Office (Word, Excel, PowerPoint).
