About the role
Onside AI is seeking a highly organized Operations Coordinator to keep day‑to‑day business activities running smoothly. Reporting directly to leadership, you will support sales, partnership building, and overall business management in a fast‑moving, early‑stage AI company.
Key responsibilities
- Own CRM and sales pipeline tracking, ensuring all deals and follow‑ups stay on schedule.
- Coordinate scheduling and communications across multiple time zones with prospects, partners, and the leadership team.
- Prepare and format professional business materials such as presentations, proposals, and one‑pagers.
- Conduct prospect and account research to support business development efforts.
- Manage inbound communications, drafting routine correspondence as needed.
- Handle back‑office administration including invoicing, expense tracking, document management, and vendor/contractor coordination.
- Build and continuously improve internal systems and processes as the company scales.
- Provide direct operational support to leadership, removing logistical friction so they can focus on sales and strategy.
Required profile
- 3+ years of experience in operations, executive support, business coordination, or a similar fast‑paced environment.
- Exceptional organization and follow‑through, taking ownership of problems and seeing them to completion.
- Strong written and verbal communication skills.
- Self‑directed, comfortable navigating ambiguity and shifting priorities.
- Sound judgment and discretion when handling confidential information.
- Post‑secondary education in Business, Operations, or related field preferred but not required.
