Transaction Coordinator – Commercial Real Estate (Contract)

About the role

We are a high‑performing commercial real‑estate team in Vancouver seeking a Contract Transaction Coordinator to support three senior brokers, two associate brokers and a marketing coordinator. This temporary role (12‑month maternity‑leave coverage) provides essential in‑office administrative assistance to keep transactions moving smoothly.

Key responsibilities

• Prepare and manage documents for offers, listings and deal execution, including closing and conveyancing packages.
• Coordinate internal schedules, client appointments and team meetings, tracking action items and follow‑ups.
• Maintain document‑management systems and transaction records, liaising with lawyers, clients, municipalities and other stakeholders.
• Assist with property research, marketing coordination and report compilation.
• Draft legal assets such as Letters of Intent, Listing Agreements, Purchase & Sale contracts and Confidentiality Agreements.
• Utilise data platforms (Sitewise, Autoprop, Salesforce, BC Registry, GIS, SpinIIHost) to gather compliance documentation (FINTRAC, BCFSA).
• Organise, track and submit internal accounting documents and agent commission invoices.

Required profile

• 2+ years of experience in an administrative, operations or transaction‑coordination role, preferably in commercial real estate, brokerage, legal or project management.
• Meticulous attention to detail and strong organisational abilities.
• Ability to manage multiple priorities under tight deadlines.
• Excellent written and verbal communication skills.
• Positive, self‑motivated and proactive attitude.
