Sales Operations Coordinator

About the role

Sirco Machinery is expanding its sales support function with a newly created Sales Operations Coordinator position. The role owns the end‑to‑end process that moves a Haas CNC machine from order confirmation to installation, working closely with the Vice‑President and Sales Manager.

Key responsibilities

• Prepare order documentation and acknowledgements once a sale is confirmed.
• Track every machine daily, knowing its exact status and location.
• Keep customers informed on ship dates and delivery timing proactively.
• Coordinate freight, rigging and delivery logistics from the factory to the customer’s facility.
• Follow up on customer payments, taxes and financing to ensure final payment.
• Work with leasing and financing partners to secure timely funding.
• Order tooling, accessories and additional parts and verify timely arrival.
• Maintain accurate records in Salesforce so sales, service and accounting have real‑time visibility.
• Identify and flag problems early, proposing solutions rather than just updates.

Required profile

• At least 3 years of experience coordinating orders, shipments or projects involving multiple parties and deadlines.
• Background in logistics, freight or order management (capital equipment or industrial experience is a plus).
• Excellent written and verbal communication; customers feel well‑taken‑care of.
• Highly organized with a strong discipline to follow up without prompting.
• Comfortable handling numbers such as invoices, payment schedules and taxes.
• Strong computer proficiency.

Required skills

• Experience with Salesforce or another CRM system.
• Familiarity with an ERP or accounting system.
