About the role
The Student Advising Administrator joins the Science Office of Undergraduate Student Advising (SOUSA) at McGill University. Reporting to the Associate Director, Student Affairs, the role provides administrative support for academic advising and student‑affairs services to over 6,000 undergraduate students in the Faculty of Science and the Bachelor of Arts & Science program.
Key responsibilities
- Provide front‑line support to students, parents, faculty and staff, answering inquiries and directing them to appropriate resources.
- Process requests for course equivalencies, credit transfers, readmission, and exchange‑student applications.
- Evaluate routine readmission and transfer cases, make decisions, and prepare complex files for senior advising review.
- Maintain and update student information systems (Workday, Banner, Minerva) and develop tools to improve efficiency.
- Produce reports, update unit websites, and create orientation and reference materials.
- Participate in university orientation events, open houses, and special projects.
Required profile
- Bilingual with excellent verbal and written communication in English and French.
- Experience in student affairs or academic advising within a higher‑education environment.
- Strong ability to interpret complex policies, build rapport, and handle confidential information.
- Proven capacity to prioritize tasks, work under pressure, and meet tight deadlines.
Required skills
- Microsoft Office suite (Outlook, OneDrive, Teams, Bookings, Forms, Word, Excel, PowerPoint, Power Automate).
- Workday, Banner, Minerva.
- Adobe applications.
- Webex and Zoom.
