Service Appointment Coordinator

About the role

Join a leading automotive dealer in Courtenay and be the first point of contact for customers seeking service appointments. You will ensure a smooth, professional experience from the initial call through post‑service follow‑up.

Key responsibilities

• Answer inbound calls and place outbound calls to schedule service appointments.
• Assist customers with inquiries via phone and online channels.
• Gather vehicle concerns, identify service needs, and relay information to Service Advisors and Technicians.
• Generate appointments using retention and business‑development programs.
• Provide accurate service estimates and clearly communicate details to customers.
• Conduct post‑service follow‑up calls to confirm satisfaction.
• Maintain precise customer records and document all interactions.
• Support email and mail campaigns, including follow‑up communications.
• Stay informed on manufacturer maintenance schedules, recalls, and service recommendations.

Required profile

• Previous experience in customer service or business development (preferred).
• Strong ability to deliver excellent customer service and build relationships.
• Motivated, organized, and capable of handling multiple priorities in a fast‑paced environment.
• Excellent communication and interpersonal skills.
• Attention to detail for accurate documentation.
• Valid BC Class 5 or 7 driver’s licence with a clean abstract.

Required skills

• Proficiency with MS Office.
• General computer literacy.
