Sales Operations Coordinator
DentistFind
Job description
About the role
DentistFind, a Canadian marketing technology company with 15 years of experience helping dental practices grow, is looking for a highly organized, analytical and proactive Sales Operations Coordinator. The role builds a dependable, scalable sales operating system in a fast-moving, founder-led environment: it is not a passive administrative position but a senior, hands-on coordination role that maintains CRM accuracy, drives follow-through across teams and turns scattered information into clear priorities.
Key responsibilities
- Review warm leads, active opportunities, appointments, overdue tasks and next actions each day, and route stalled, unowned or conflicting items to the right owner.
- Maintain accurate CRM records (deal stages, ownership, tasks, dates, notes, source links) and flag missing or inconsistent information.
- Turn sales meetings and internal discussions into structured action records with owners, deadlines and acceptance checks, and follow up until commitments are completed.
- Prepare weekly pipeline and activity reports covering appointments, follow-ups, proposals, objections, bottlenecks and performance against benchmarks.
- Coordinate handoffs between Sales, Marketing, Client Success and other departments, and confirm that the receiving owner has accepted them.
- Help establish practical CRM, deals, tasks and follow-through procedures, and organize coaching evidence and objection patterns for the sales leader.
- Capture workflows, reporting definitions and process exceptions in writing, and escalate issues outside the role's authority with facts and recommended next steps.
- Use AI tools such as ChatGPT to summarize notes and draft documents, always checking facts and logic first.
Required profile
- Bachelor's degree in Business Administration, Sales, Marketing, Operations, Communications or a related field.
- Minimum 3-5 years of experience in sales operations, sales coordination, commercial operations, project or account coordination.
- Demonstrated ownership of a workflow, pipeline process or operational system over weeks or months.
- Clear understanding of B2B sales workflows (lead management, qualification, appointments, proposals, handoffs).
- Excellent written English, strong critical thinking, organization and follow-through, and integrity with confidential information.
- Ability to work fully remotely, with Eastern Time overlap, under a structured accountability system including time tracking.
Required skills
- Proven experience maintaining accurate CRM records and pipeline hygiene.
- Proficiency with Google Workspace or similar tools, spreadsheets, CRM systems and at least one project or task management platform.
- Comfortable using AI tools for documentation and summarization while independently verifying accuracy.
