Purchasing Coordinator – Procurement & Finance

About the role

The Purchasing Coordinator supports the Student Housing and Community Services (SHCS) purchasing team by managing contracts, supplier sourcing, purchase records and reporting across UBC's Vancouver and Okanagan campuses.

Key responsibilities

• Process purchase requisitions and generate purchase orders for multiple SHCS departments.
• Maintain and update contracts, blanket purchase orders and the supplier database.
• Collect and analyse purchasing statistics, velocity reports and product pricing in the Optimum Control system.
• Review and approve invoices and reconcile P‑card transactions in Workday, assigning correct cost centres and tax codes.
• Renew blanket purchase orders each fiscal year and manage rebate program records.
• Collaborate with Facilities and Food Services managers on service contracts, monitor supplier performance and resolve delivery or quality issues.
• Research and select vendors based on price, quality, sustainability and reliability.

Required profile

• Successful completion of an Excel & Word skills test and a purchasing knowledge test.
• Ability to work under the direction of the Purchasing Manager and interact with staff at all levels.
• Strong organisational skills and attention to detail for contract and record management.
