Passport and Visa Officer (Ottawa)

About the role

The Passport and Visa Officer administers CSIS’s passport and visa program, ensuring compliance with policies and supporting diplomatic travel needs. This position requires close interaction with embassies, immigration authorities and internal stakeholders.

Key responsibilities

• Analyze files and research foreign travel documentation requirements, providing advice based on policy interpretation.
• Process requests for special and diplomatic passports and associated visas on behalf of the Service.
• Liaise with embassies, Immigration, Refugees and Citizenship Canada, and other key stakeholders, acting as a resource on travel documentation.
• Manage travel‑document registries and databases on SharePoint to track status and location of official passports.
• Ensure compliance with the Memorandum of Understanding regarding retention and safekeeping of special and diplomatic passports.
• Plan and coordinate administrative requirements for projects, research, analysis and reporting related to branch initiatives.

Required profile

• Undergraduate degree (or college diploma with additional experience) from an accredited Canadian institution.
• Minimum two years of experience interpreting policies, delivering client service, managing projects and drafting reports.
• Bilingual imperative (BBB/BBB) with ability to pass language evaluations.
• Eligibility for an Enhanced Top Secret security clearance, including polygraph and background investigation.
