About the role
The Martell Group is seeking an Executive Assistant to manage office operations and provide dedicated support to the Portfolio Growth Leader in its Kelowna office. This fast‑paced, high‑trust position ensures the leader can focus on high‑impact work while the office runs smoothly.
Key responsibilities
- Manage daily schedules, internal communications, and task coordination for the Portfolio Growth Leader.
- Prepare meeting materials, agendas, notes, and track operational action items.
- Maintain organized systems in Google Suite, Notion, and project‑management tools.
- Develop and improve operational processes and documentation.
- Coordinate logistics and project support with founders, partners, and internal teams.
- Leverage AI tools and automation to streamline repetitive tasks and workflows.
- Oversee on‑site operations, office organization, supplies, and general administrative functions.
- Handle confidential and sensitive information with discretion.
Required profile
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.
- Tech‑savvy with a strong interest in AI tools and automation.
- Excellent written and verbal communication skills.
- Exceptional attention to detail, organization, and follow‑through.
- Ability to manage multiple tasks and priorities in a fast‑moving environment.
- Strong operational mindset focused on efficiency, structure, and clear processes.
