About the role
The Martell Group is seeking an Executive Assistant to manage office operations and support the Portfolio Growth Leader in its fast‑paced Kelowna office. You will act as the central hub for daily execution, ensuring the leader stays organized and focused on high‑impact initiatives.
Key responsibilities
- Manage calendars, internal communications, and task coordination for the Portfolio Growth Leader.
- Prepare meeting materials, agendas, notes, and track operational action items.
- Maintain organized systems in Google Suite, Notion, and project‑management tools.
- Develop and improve operational processes and documentation.
- Coordinate logistics and project support with founders, partners, and internal teams.
- Leverage AI tools and automation to streamline repetitive tasks and workflows.
- Oversee on‑site operations, office organization, supplies, and general administrative functions.
- Handle confidential and sensitive information with discretion.
Required profile
- 3+ years experience as an Executive Assistant, Administrative, or Operations Coordinator.
- Tech‑savvy with a strong interest in AI tools and automation.
- Excellent written and verbal communication skills.
- Exceptional attention to detail, organization, and follow‑through.
- Ability to manage multiple tasks and priorities in a fast‑paced environment.
- Strong operational mindset focused on efficiency and clear processes.
