About the role
We are looking for an Executive Assistant to run the Kelowna office and support our Portfolio Growth Leader. This fast‑paced, high‑trust position ensures daily operations run smoothly while the leader focuses on high‑impact work.
Key responsibilities
- Manage schedules, internal communications and task coordination for the Portfolio Growth Leader.
- Prepare meeting agendas, materials, notes and track operational action items.
- Maintain organized systems in Google Suite, Notion and project‑management tools.
- Develop and improve operational processes and documentation.
- Coordinate logistics and project support with founders, partners and internal teams.
- Leverage AI tools and automation to streamline repetitive workflows.
- Oversee on‑site operations, office organization, supplies and general administrative functions.
- Handle confidential and sensitive information with discretion.
Required profile
- 3+ years experience as an Executive Assistant, Administrative or Operations Coordinator.
- Tech‑savvy with a strong ability to learn and apply AI tools.
- Excellent written and verbal communication skills.
- Exceptional attention to detail, organization and follow‑through.
- Ability to manage multiple priorities in a fast‑moving environment.
- Strong operational mindset focused on efficiency and clear processes.
