About the role
Our client in Oshawa is seeking an experienced Executive Administrative Assistant on a one‑year contract to support the leadership team. The role involves handling confidential correspondence, coordinating travel, and ensuring smooth office operations.
Key responsibilities
- Manage routine and confidential correspondence, reports, and materials.
- Compose and distribute letters and maintain office equipment.
- Organise meetings, prepare agendas and supporting documents.
- Arrange travel and accommodation for supervisors and staff.
- Handle incoming and outgoing mail, prioritising items for the supervisor.
- Assist in scheduling, prioritising the supervisor’s activities and managing access.
- Maintain records in compliance with retention schedules, including storage or destruction of obsolete files.
- Process routine reports and forms, communicate supervisor’s instructions and capture meeting feedback.
- Prepare purchase orders and requisitions, provide backup support and monitor task due dates.
Required profile
- Proven experience as an executive administrative assistant or similar role.
- Excellent organizational, time‑management and communication skills.
- Ability to handle confidential information with discretion.
- Strong problem‑solving abilities and attention to detail.
- Capacity to work independently in a fast‑paced environment.
Required skills
- Proficiency with office software, including PowerPoint, Adobe, spreadsheets and email applications.
