Events Coordinator (Remote)

About the role
The Events Coordinator will plan, organise and execute CAPIC events from inception through post‑event follow‑up. Working closely with the Marketing & Communications team, this remote full‑time position ensures every event meets the association’s standards and strategic objectives.
Key responsibilities
- Identify requirements and expectations for each event.
- Liaise with service providers, vendors, exhibitors and stakeholders.
- Manage all event logistics – online and in‑person – including set‑up, tear‑down, virtual hosting and green‑room management.
- Coordinate volunteer activities to maintain high standards.
- Initiate and monitor event registration, and collaborate with Communications to promote events.
- Support communication with sponsors, guests, speakers and participants.
- Develop, collect and organise event materials such as graphics, presentations and speeches.
- Conduct final inspections on event day to ensure compliance with CAPIC standards.
- Serve as first point of contact for event information requests.
- Maintain and reconcile registration systems and track expenses versus budgets.
- Perform post‑event follow‑up, including survey distribution and performance reporting.
Required profile
- Dynamic, self‑motivated individual with strong organisational abilities.
- Excellent communication skills and ability to work collaboratively with volunteers and stakeholders.
- Comfortable managing multiple tasks in a remote work environment.
