About the role
The Eye Care Centre of Vancouver Coastal Health is seeking a dedicated Clinical Administrative Secretary and Office Manager to provide comprehensive administrative support to the Medical Department Head and Patient Services Manager. This position plays a key part in ensuring smooth daily operations within a client‑ and family‑centered care environment.
Key responsibilities
- Manage calendars, schedule appointments, and arrange meetings for team members.
- Answer phones, handle general inquiries, and screen incoming and outgoing mail.
- Take minutes at meetings, prepare agendas, and follow up on action items.
- Maintain filing systems, process physician payments, and keep time‑keeping records.
- Compile statistical data, generate reports, and create weekly schedules.
- Coordinate workflow for the assigned area and support interdisciplinary team activities.
Required profile
- Grade 12 completion plus a recognized secretarial or administrative assistant program.
- At least three years of recent related experience in an administrative or secretarial role.
- Ability to type at least 45 words per minute.
- Strong verbal and written communication skills.
- Effective interpersonal skills and ability to organize work independently.
- Physical capability to perform the duties of the position.
Required skills
- Proficiency with word processing software.
- Proficiency with spreadsheet software.
- Proficiency with presentation software.
