About the role
We are a high‑performing wealth management firm seeking an experienced Administrative Specialist to become the operational heartbeat of our Etobicoke office. This full‑time, on‑site position is ideal for a career administrator who thrives on precision, data integrity, and supporting a quiet, structured environment.
Key responsibilities
- Enter, update, and reconcile financial data, transaction histories, and internal records with 100% accuracy.
- Gather raw data and assemble polished presentation decks, quarterly reports, and internal binders using strict templates.
- Organise, cross‑reference, and prepare routine regulatory paperwork and compliance filings for submission.
- Conduct quality‑control reviews of digital files, correcting missing signatures, blank fields, or formatting errors to ensure audit‑readiness.
Required profile
- 15–20+ years of professional administrative support experience.
- Detail‑oriented with a strong focus on accuracy and efficiency.
- Reliable on‑site presence and high professional standards.
- Ability to work autonomously on repetitive, detail‑heavy tasks while maintaining confidentiality.
Required skills
- Strong proficiency in Microsoft Excel.
- Strong proficiency in Microsoft PowerPoint.
- Strong proficiency in Microsoft Word.
- Strong proficiency in Microsoft Outlook.
