About the role
pandrel Interactive is looking for an Administrative Coordinator to keep the business side of its XR, AI, training, simulation, games and research activities organized. This junior‑to‑intermediate position focuses on paperwork, reporting, payroll support, funding documents and proposal follow‑through rather than technical development.
Key responsibilities
- Draft and organise responses for funding applications, RFPs, project reports, claims and related business documents.
- Prepare first drafts of administrative correspondence, client/partner follow‑ups and internal documents.
- Support basic financial administration: invoice tracking, expense records, receipt organisation, budget tables, P&L projections, cash‑flow worksheets and balance‑sheet support.
- Work with QuickBooks, spreadsheets and accountant‑facing records to keep financial information orderly.
- Assist with payroll administration, timesheets, vacation tracking, onboarding paperwork, contractor records and other HR documentation.
- Maintain and update practical company policies (vacation, expenses, remote work, equipment, confidentiality, etc.).
- Track deadlines for proposals, reports, renewals, claims, payroll and other administrative submissions.
- Prepare supporting documentation for funders, accountants, partners and management.
- Organise company files, contracts, templates, records and recurring administrative materials.
- Convert informal notes, project updates and business activity into clear written documentation.
Required profile
- 1–3 years of experience in administration, business support, bookkeeping, HR administration, proposal coordination or a related field.
- Strong writing ability to produce clear professional emails, reports, summaries and application materials.
- Comfort with spreadsheets, basic formulas, tables, budget tracking and accurate data entry.
- Familiarity with QuickBooks Online, Xero or similar accounting software, or a willingness to learn quickly.
- Experience with Google Workspace or Microsoft Office suite.
