About the role
We are looking for a proactive Administrative Assistant to provide comprehensive support to 2‑3 Managing Directors within the COO Group at RBC Capital Markets. The role involves managing complex calendars, travel, expenses and office operations to ensure the executive team runs smoothly.
Key responsibilities
- Maintain and coordinate busy Outlook calendars for senior leaders, scheduling internal and external meetings.
- Organise domestic and international travel itineraries, process expense reports and ensure compliance with company policies.
- Arrange and support in‑person and virtual meetings, including audio‑video conferencing setup.
- Manage office logistics such as seat assignments, stationery supplies, mailroom activities and social events.
- Oversee contingent workforce processes, including onboarding and off‑boarding of consultants and contractors.
- Assist with technology requests, supply orders, recruiting, and staff onboarding/off‑boarding.
- Create, edit and distribute spreadsheets, presentations and related documents for meetings.
- Lead ad‑hoc projects and provide backup support to the team as needed.
Required profile
- 3‑5 years of experience providing administrative support to senior leaders.
- Strong ability to manage multiple priorities in a fast‑paced environment.
- Excellent written and verbal communication skills.
- High level of discretion handling confidential information.
- Detail‑oriented, calm under pressure and capable of independent judgment.
