About the role
Stantec’s Buildings team is seeking a highly organized Administrative Assistant to support approximately 300 staff across Alberta. The role blends logistical coordination with creative proposal development, ensuring our business development efforts are polished and compelling.
Key responsibilities
- Prepare, edit, proofread, and format proposals, reports, specifications, meeting minutes, and client correspondence.
- Assist with project setup, contract documentation, and tracking of required project records.
- Support the administration of collaboration tools such as Microsoft Teams and SharePoint.
- Maintain electronic filing systems, equipment logs, and basic databases.
- Coordinate office logistics, including meeting rooms, supplies, and occasional team events.
- Collaborate with internal marketing and subject‑matter experts to develop high‑quality proposals.
- Monitor internal systems for new project opportunities and plan business‑development events.
- Create promotional materials to support marketing initiatives.
