Residency Program Assistant – Postgraduate Medical Education

About the role

The University of British Columbia is seeking a Residency Program Assistant to support the Postgraduate Medical Education programs within the Department of Pathology and Laboratory Medicine. This part‑time, 60 % FTE position (approximately 21 hours per week) runs for an 18‑month term starting 3 January 2027, with the possibility of extension.

Key responsibilities

• Coordinate resident rotation schedules and evaluation processes across systems such as One45, Entrada and RMS, ensuring data accuracy and troubleshooting issues.
• Communicate rotation details, academic events and out‑of‑town elective logistics to residents and pre‑ceptors, including hospital access and ID arrangements.
• Support accreditation activities, including preparation for Royal College visits, examination administration and documentation compilation.
• Organise operational and logistical aspects of conferences, workshops and other educational events.
• Provide day‑to‑day administrative and financial assistance to the Residency Program Manager and Program Directors.

Required profile

• Ability to work independently under broad direction while collaborating with program directors and other stakeholders.
• Flexibility to work in a hybrid setting (one remote day and two on‑site days) and travel between UBC campuses, hospitals and clinical sites.
• Strong organizational skills and attention to detail for managing multiple residency programs.

Required skills

• Proficiency with educational management platforms: One45, Entrada, RMS.
