Report & Estimating Sales Coordinator – Key Accounts

About the role

The Report & Estimating Sales Coordinator acts as the bridge between Operations/Estimating and the client, handling draft quotes, inspection reports, and revisions for key accounts. The role ensures that quotes and reports move smoothly from creation to client delivery, supporting both account management and operational teams. Daily tasks involve reviewing orders, coordinating with the estimating team, and logging activity to maintain compliance.

Key responsibilities

• Review orders requiring draft quotes and inspection reports.
• Check the KPI Report for outstanding quotes, reports, and revision requests.
• Coordinate completion of draft quotes with the Estimating team.
• Process inspection reports and submit quotes/reports to the client or Key Account Manager.
• Log reasons for any draft that cannot be sent, update activity notes, and notify Estimating.
• Hand approved quote items back to Account Management for the “Repair Approval” step.
• Follow SOP RPT-1 to generate minor draft quotes, coordinate scope and pricing, and route approved quotes to the KAM.
• Execute SOP RPT-2 to process inspection reports, attach complete documentation, and forward scope to Estimating when deficiencies arise.
• Implement SOP RPT-3 to submit outstanding quotes and reports from the KPI list, documenting any issues.
• Manage revisions per SOP RPT-4 by sending drafts to Estimating, resubmitting upon receipt, and notifying the compliance admin.
