Project Coordinator – Architectural Metal Fabrication

About the role

Maxxit Systems Inc. is seeking a Project Coordinator to support the execution of architectural metal fabrication projects from hand‑off through production, delivery and close‑out. The role acts as the administrative hub, linking Project Management, Engineering, Production, Procurement and Site teams to keep projects on schedule and aligned with client requirements.

Key responsibilities

• Assist Project Managers with project set‑up, document organization and internal hand‑off.
• Maintain project files, logs and documentation in company systems and shared folders.
• Track milestones, deliverables and action items to ensure on‑time execution.
• Prepare and distribute meeting minutes, action logs and follow‑up items.
• Support schedule updates, status reporting and internal communications.
• Monitor outstanding items and follow up with internal teams to sustain project momentum.
• Manage drawings, submittals, RFIs, change orders, transmittals and site documentation.
• Coordinate with Engineering, Production and Procurement to track drawing approvals, fabrication readiness and material procurement.
• Compile and issue project close‑out documentation.

Required profile

• Highly organized and detail‑oriented.
• Comfortable working in a fast‑paced custom manufacturing environment with multiple deadlines.
• Strong ability to coordinate cross‑functional teams and maintain clear communication.
• Proactive approach to monitoring project progress and resolving issues.

Required skills

What we offer

• Annual compensation ranging from $55,000 to $72,000 CAD, based on experience.
• Full‑time permanent position.
• On‑site work four days per week at our Toronto office (1000 Martin Grove Rd).
