Legal Assistant – Customer Regulatory & Resolution

About the role

Air Canada’s Legal Department is looking for a Legal Assistant to support the Customer Regulatory and Resolution group. You will provide essential secretarial and administrative assistance to counsels and paralegals, ensuring smooth document flow and timely handling of legal matters.

Key responsibilities

• Provide secretarial and administrative support for multiple counsels and paralegals.
• Maintain and update an extensive filing system, both physical and electronic.
• Open, organize, and preserve files and documents, including computer‑based records.
• Gather information from corporate systems and consolidate it into the Legal Department’s file system for rapid retrieval.
• Coordinate the efficient flow of documents and manage various databanks.
• Review file status, follow up on action items, and monitor deadlines.
• Prepare, format, and assemble correspondence and court documents.
• Organize meetings, conference calls, and travel arrangements for legal staff.
• Liaise with internal and external parties to ensure accurate document preparation.

Required profile

• Experience providing secretarial or administrative support in a legal environment.
• Strong organizational skills with the ability to maintain complex filing systems.
• Attention to detail for reviewing documents and tracking deadlines.
• Ability to coordinate meetings, travel, and communication with internal and external stakeholders.
