ILL & Circulation Assistant

About the role

The ILL & Circulation Assistant provides essential library services for the UBC Law Library, handling interlibrary loans, signage, digital displays, and patron support. The role combines technical, administrative, and customer‑service responsibilities in a dynamic campus environment.

Key responsibilities

• Coordinate interlibrary loan requests, retrieve, copy, scan, invoice and deliver materials for students and faculty.
• Manage document‑delivery services for items not owned by UBC Library.
• Create and maintain physical, digital and virtual signage, posters, table‑tent signs, and website content using publishing tools.
• Support acquisitions, circulation, technology troubleshooting and general administrative tasks.
• Serve as the sole desk attendant during evenings and weekends, overseeing patron service, student assistants and emergency situations.
• Liaise with UBC Library Communications, IT, external vendors and other campus units.

Required profile

• Experience with library operations, especially interlibrary loans and circulation.
• Ability to work evenings and weekends and handle multiple responsibilities simultaneously.
• Strong communication skills for interacting with faculty, students, staff and external partners.
• Attention to detail and adherence to branding and signage guidelines.

Required skills

• Microsoft Office (Word, Excel, PowerPoint)
• Graphic and publishing tools such as Photoshop, Pixlr, iMovie, Canvas
• Basic website content management
• Familiarity with digital signage platforms
