Finance & Student Appointment Administrator

About the role

The Finance & Student Appointment Administrator provides integrated financial, academic appointment, and administrative support for the School of Engineering at UBC Okanagan. The role ensures accurate, timely processing of high‑volume financial transactions, reimbursements, and student employment actions while supporting faculty and governance activities.

Key responsibilities

• Process financial transactions, reimbursements, and academic employment actions in compliance with UBC policies and audit requirements.
• Coordinate student appointments and payroll for approximately 36 faculty members, covering GRAs/URAs, GAAs, Teaching Assistants, appointment extensions, and One‑Time Payments.
• Serve as primary contact for student payroll inquiries, providing accurate information and issue resolution.
• Provide administrative support to academic and leadership committees, including meeting coordination, minute‑taking, surveys, and communications.
• Maintain Workday data, support senior academic leadership, and provide backup coverage during staff absences.

Required profile

• Strong attention to detail and accuracy in financial and administrative tasks.
• Ability to work under tight deadlines and manage multiple priorities.
• Discretion and service‑orientation when handling confidential payroll and financial information.
• Familiarity with university policies, audit standards, and academic employment processes.
