About the role
We are looking for a proactive Executive Assistant to provide high‑level administrative, financial and HR support to multiple senior executives and their teams. The role ensures smooth day‑to‑day operations, manages complex calendars and contributes to strategic initiatives across the business group.
Key responsibilities
- Manage executive calendars, schedule meetings, book rooms and arrange resources.
- Plan, coordinate and execute department events and strategic initiatives.
- Gather, format and present data in regular reports, dashboards and ad‑hoc analyses.
- Audit cost‑center expenses, maintain G&E trackers and perform system‑access certifications.
- Coordinate budgets, monitor spend versus forecast and prepare expense claims.
- Develop and edit communications, presentations and policy documents.
- Process invoices, manage vendor relationships and oversee travel arrangements.
- Liaise with internal and external stakeholders on premises, relocations and office planning.
- Track staff overtime, on‑call claims, vacations and absences in line with corporate guidelines.
Required profile
- Proven experience supporting senior executives in a fast‑paced environment.
- Strong organizational and analytical abilities with attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information and exercise sound judgment.
- Team‑player who can also work independently.
Required skills
- Microsoft Outlook for calendar and email management.
- Microsoft Excel for data analysis and reporting.
- Microsoft PowerPoint for presentation preparation.
