Contract Administrator – Facilities Management

About the role

Black & McDonald’s Facilities Management & Operations team is expanding and seeks a Contract Administrator to support day‑to‑day operations in the Markham area. Reporting to the Facility Manager, you will ensure smooth administrative processes, inventory control, and vendor coordination while upholding health, safety, and regulatory standards.

Key responsibilities

• Enter timesheets, process expenses, and maintain document controls.
• Implement inventory procedures, manage ordering, returns, and stock levels.
• Coordinate vendor relations, process invoices and purchase orders.
• Assist in proposal preparation and change‑order documentation.
• Maintain customer inventory control systems (e.g., WASP) and monitor losses.
• Schedule facility usage, vendor services, and internal coordination.
• Track subcontractor purchase orders and liaise with legal for approvals.
• Support audits and inspections by organizing required documentation.

Required profile

• High School Diploma; a degree or diploma in Office Administration is an asset.
• Minimum 5 years of office administrative experience.
• 1‑2 years of inventory control experience; construction sector experience is a plus.
• Strong communication, teamwork, and accountability skills.

Required skills

• Proficiency with MS Office (Word, Excel, Project).
• Experience using JD Edwards or an Oracle‑based ERP system.
• Knowledge of inventory management software such as WASP, Fishbowl, or Inflow.
