Administrative Assistant – Office & Accounting Support

About the role

Thermon is seeking an Administrative Assistant to be the welcoming face of its Calgary office. The role blends front‑desk duties with basic accounting support, ensuring a smooth experience for employees, visitors, customers and vendors.

Key responsibilities

• Serve as first point of contact for visitors, customers and staff, managing reception and creating a professional environment.
• Answer and direct incoming calls across Thermon locations and manage the phone system as needed.
• Handle incoming and outgoing mail, courier shipments, and maintain the front‑desk area.
• Maintain the incoming cheque log, prepare daily deposits and code accounts‑payable invoices into Dynamics AX2012.
• Review vendor statements, reconcile invoices and respond to vendor inquiries promptly.
• Provide general administrative support, including scheduling, filing and ad‑hoc projects.

Required profile

• Minimum 2 years of administrative or receptionist experience in a fast‑paced office.
• Minimum 2 years of accounts‑payable experience.
• Strong organizational abilities, attention to detail and a customer‑focused attitude.
• Ability to work independently while collaborating effectively with team members.

Required skills

• Experience using Microsoft Dynamics AX2012 for invoice processing.
