About the role

We are seeking a proactive Executive Assistant to provide comprehensive administrative and organizational support to the Executive Vice President & Chief Development Officer. You will act as an extension of the EVP’s office, ensuring smooth operations and contributing to high‑profile initiatives.

Key responsibilities

  • Deliver daily administrative support, including scheduling, meeting coordination, on‑site event planning, and communications management.
  • Oversee complex executive calendars using Microsoft Outlook and suggest time‑management improvements.
  • Manage meeting logistics (A/V equipment, catering), guest arrangements, expense reporting, travel bookings, filing system enhancements, and supply ordering.
  • Serve as primary liaison for vendors and internal stakeholders, ensuring timely responses.
  • Maintain financial and budget documentation in Excel and handle sensitive financial information with confidentiality.
  • Liaise with senior executives and board members to align on key initiatives and meetings.
  • Support new‑employee onboarding and coordinate team events and quarterly meetings.

Required profile

  • 5+ years of experience supporting senior‑level executives in a fast‑paced environment.
  • Advanced proficiency in Microsoft Outlook, PowerPoint, and Excel.
  • Familiarity with SAP Concur and Microsoft Copilot is a plus.
  • Exceptional written and verbal communication skills.
  • Strong problem‑solving, project‑management, and multitasking abilities.
  • Highly self‑sufficient, dependable, and able to maintain discretion and confidentiality.
  • Adaptable, detail‑oriented, and able to work under pressure.
