About the role
The Events Administrator provides administrative and logistical support for large‑scale student events within the AVP Students portfolio at UBC. Working closely with internal partners, the role ensures events are well‑organized, compliant with university policies, and delivered smoothly.
Key responsibilities
- Coordinate event planning processes, manage schedules, and track milestones.
- Book venues, arrange catering, audio‑visual equipment, signage, and other logistics.
- Set up and manage registration systems, track attendees, and handle communications.
- Liaise with campus services such as Facilities, Security, IT, and external vendors.
- Maintain detailed event records, vendor details, and post‑event summaries.
- Administer financial and procurement transactions related to events.
- Support hiring processes for student staff roles when needed.
Required profile
- Strong organizational and time‑management abilities.
- Excellent communication skills for stakeholder coordination.
- Ability to work independently and as part of a team.
- Attention to detail and adherence to university policies.
Required skills
- Proficiency with event registration platforms.
- Experience arranging catering, AV, and venue logistics.
- Familiarity with procurement and budgeting processes.
