About the role
The University of British Columbia’s Athletics and Recreation department is seeking a dedicated Administrative Assistant to support the Recreation Leadership Team and the Senior Manager of Fitness and Recreation Services. Working from the Student Recreation Centre, you will ensure smooth day‑to‑day operations and provide confidential administrative and financial assistance.
Key responsibilities
- Handle department mail, room bookings, catering arrangements, and equipment maintenance.
- Process and reconcile financial documents such as expense requests, travel requisitions, purchase orders, deposits, journal vouchers, and invoices.
- Track accounts receivable, manage cash, credit and debit payments, and resolve rejected transactions.
- Maintain accurate data entry, update records, and generate reports as needed.
- Order supplies, coordinate with external vendors, and troubleshoot office issues.
Required profile
- Strong focus on customer service and communication.
- Excellent attention to detail and ability to manage multiple priorities.
- Demonstrated ability to work independently and exercise sound judgment.
- Experience in an administrative or financial support role, preferably in a university or recreation setting.
Required skills
- Proficiency in data entry and record‑keeping.
- Basic financial reconciliation and bookkeeping skills.
- Ability to use standard office software for scheduling, budgeting, and reporting.
