Accounts Receivable Clerk

About the role

The Accounts Receivable Clerk ensures accurate and timely processing of customer payments, collections, and intercompany transactions. This position supports cash flow management and compliance with internal controls within a leading fire protection and life safety company.

Key responsibilities

• Prepare and maintain customer payment files and spreadsheets for cheques, wire transfers, EFTs, credit cards, and pre‑authorized payments.
• Process, apply, and reconcile customer payments, allocating them correctly to accounts.
• Set up and update payment profiles, including recurring schedules and pre‑authorized arrangements.
• Reconcile payment transactions against bank statements, investigate discrepancies, chargebacks, and disputes.
• Monitor failed or declined transactions and work with customers and internal teams to resolve issues.
• Contact credit‑card and pre‑authorized payment customers regarding outstanding balances or account problems.
• Maintain organized records of all payment activity in line with audit and compliance standards.
• Provide month‑end reporting, reconciliations, and audit support to the accounting team.
• Assist with special projects and process‑improvement initiatives.
• Process and reconcile intercompany invoices, payments, and adjustments.
