Travel Specialist

About the role

The Travel Specialist provides administrative support for Osler’s national travel program, coordinating travel services for lawyers and staff across all Canadian offices. This role ensures smooth travel operations, compliance with firm policies, and effective communication with travelers and travel partners.

Key responsibilities

• Coordinate bookings, issue resolution, and platform updates with the corporate travel agency for legal professionals.
• Manage onboarding and offboarding of lawyers in the Concur travel platform and maintain accurate traveler profiles.
• Provide training and guidance to legal assistants on travel processes and booking procedures.
• Oversee group travel, room block bookings, and travel arrangements for firm retreats, meetings, and practice‑group events.
• Liaise with travel partners to address booking issues, implement updates, and support travel data reporting.
• Handle cancellations, changes, and disruptions in collaboration with travel agents while ensuring policy compliance.
• Administer corporate travel points programs and book approximately 200 trips annually for administrative staff.
• Maintain the JETSET application and travel request tracking list, and monitor the Osler Travel mailbox.
• Deliver communications on travel policies, advisories, and updates; maintain Power BI dashboard and OslerNET travel resources.

Required profile

• University degree, college diploma, or equivalent relevant work experience.
• Strong organizational skills and ability to manage multiple travel requests simultaneously.
• Excellent communication skills for interacting with lawyers, staff, and travel partners.

Required skills

• Experience with Concur travel management platform.
• Proficiency in Power BI for data reporting.
• Familiarity with the JETSET travel application.
