Dispatcher – Real-time Fleet Coordination

About the role

The Dispatcher coordinates a local fleet of trucks handling time‑critical and expedited shipments. This position ensures rapid response to customer requests, optimal truck utilization, compliance with DOT regulations, and continuous communication with drivers and customers to meet strict delivery deadlines.

Key responsibilities

• Assign expedited pickup and delivery orders to available trucks based on proximity, equipment type, and driver hours.
• Prioritize time‑critical freight, adjust routes dynamically, and build daily dispatch boards for same‑day and next‑day deliveries.
• Maintain constant communication with drivers via phone, ELD, or mobile apps, verify availability and HOS compliance, and provide turn‑by‑turn instructions when needed.
• Monitor live GPS/ELD tracking, identify delays or traffic issues, and provide real‑time status updates to customers and internal teams.
• Serve as the primary point of contact for customers during transit, communicate ETAs and exceptions, and support billing by validating completed loads.
• Ensure dispatch decisions comply with DOT Hours of Service regulations, document exceptions, and escalate safety concerns immediately.

Required profile

• High school diploma or equivalent; logistics or related training is a plus.
• At least 1 year of dispatch experience, preferably in expedited, local pickup & delivery, or courier environments.
• Strong understanding of local routing, domestic trucking operations, terminology, and regulations.
• Excellent verbal and written communication skills and a customer‑service mindset.
• Ability to multitask, prioritize tasks, and work efficiently in a fast‑paced environment.

Required skills

• Proficiency with Transportation Management Systems (TMS).
• Experience using GPS tracking and Electronic Logging Devices (ELD).
• Strong skills in Microsoft Excel, Google Sheets, and general MS Office applications.
• Familiarity with dispatch boards and logistics software.
