Receptionist & Hospitality Assistant – 4‑Month Contract

About the role

We are looking for a friendly Receptionist and Hospitality Assistant to support our Ottawa office’s Office Services team. The role is full‑time, on‑site, and runs for a fixed four‑month term ending October 2026.

Key responsibilities

• Answer and redirect incoming phone calls and greet clients and visitors in person.
• Process boardroom and meeting requests through the firm’s Event Management System and coordinate catering.
• Maintain kitchen and boardroom areas, ensuring coffee machines, dishwashers, supplies and equipment are stocked and functional.
• Monitor and replenish inventory of snacks, beverages, stationery and other office supplies.
• Set up boardrooms for meetings and special functions, present food and beverage orders, and keep the spaces clean throughout the day.
• Provide occasional support outside regular hours when required, with appropriate compensation.
• Perform other duties as needed to support firm members.

Required profile

• High school diploma (minimum).
• One or more years of hospitality or customer‑service experience preferred.
• Reliable attendance, flexibility to work extra hours, and strong attention to detail.
• Excellent oral and written communication and interpersonal skills.

Required skills

• Proficiency with Microsoft Word, Excel and Outlook.
• Basic knowledge of iManage software (asset).
